Scheduling Texts (“Send Later”) Using Email to Text

A built-in Outlook feature that allows you to schedule when your message is sent — perfect for timing text messages through TextBetter’s Email-to-Text solution.

Email Scheduling Overview

With Outlook’s Send Later feature, you can write a message now and choose exactly when it’s delivered. This works seamlessly with TextBetter, allowing you to send texts at specific times — such as appointment reminders, business hours notifications, or early-morning messages without having to be online.

When you’re ready to send a text, simply address the email to the recipient’s mobile number like this:
15551234567@textbetter.com (10-digit number + @textbetter.com).

How to Schedule an Email (Individual User)

Step 1. Compose your text message

  1. Open New Email in Outlook.

  2. In the To: field, enter the recipient’s mobile number followed by @textbetter.com, for example:
    15551234567@textbetter.com

  3. Add your subject (optional) and type your message body, e.g.:

    Hi {FirstName}, this is {BusinessName}.
    Your appointment is scheduled for {Date} at {Time}.
    Reply C to confirm or STOP to opt out.

Step 2. Schedule your message

In Outlook on the Web:
  1. Click the Send drop-down arrow beside the “Send” button.

  2. Select Send later.

  3. Choose the date and time you want the message (text) to send.

  4. Click Send later again to confirm — Outlook will queue it for delivery at that time.

In New Outlook for Windows:
  1. Compose your email as usual.

  2. Click the Send later icon (clock symbol) next to the Send button.

  3. Select your preferred date and time.

  4. Click Send later — Outlook will hold and send automatically at your chosen time.

Your message will appear in your Drafts or Scheduled folder until it’s sent.

Step 3. View, edit, or cancel a scheduled text

  1. Go to your Drafts or Scheduled folder in Outlook.

  2. Open the scheduled message.

  3. To edit: make your changes, click Send later again, and select a new time.

  4. To cancel: delete the scheduled message or click Send now to deliver immediately.

Tips

  • Verify your time zone under Outlook settings to ensure the message sends when you expect.

  • Keep scheduled texts short and to the point to avoid multi-segment messages.

  • Use scheduling for common scenarios like:

    • Morning appointment reminders

    • End-of-day follow-ups

    • Weekend messages queued during business hours

  • Exchange handles queued delivery, so no local computer or app needs to stay open.

  • Admins can view or audit scheduled messages within Outlook mailboxes like any other email.

  • The Send Later feature can be used in shared mailboxes if users have appropriate permissions.
